Privacy policy

Overview

ProperTradie provides business management software for contractors and trade businesses. Our marketing website is available at propertradie.com.au and our application is available at app.propertradie.com.au (together, the "Platform").

This Privacy Policy explains how ProperTradie ("we", "us" or "our") collects, uses, stores and protects personal information when you visit our website, create an account, use our software, or otherwise interact with us.

We handle personal information in accordance with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles. By using ProperTradie, you acknowledge that your information will be handled as described in this policy.

Information We Collect

The information we collect depends on how you use ProperTradie. It may include your name, email address and phone number, as well as business information such as your business name, trading details and Australian Business Number (ABN).

If you subscribe to a paid plan, we collect billing information needed to process your subscription. We do not store complete credit card details on our systems. Payment card information is handled by our payment providers.

When you use the Platform, you may upload documents, company logos and other files. You may also enter and store customer records, quotes, invoices, jobs, expenses and related business information as part of running your trade business.

When customers approve quotes or service agreements through public links, we may collect approval records including typed names, digital signature images, terms acceptance timestamps and optional mobile verification details where enabled.

If you contact us for help, we collect the information you provide in support enquiries, including the content of your messages and any attachments you send.

We also collect certain technical information automatically when you use our website or application. This may include device information, browser information, IP address, usage statistics and log information such as access times, pages viewed and actions taken within the Platform.

How Information Is Collected

We collect information in several ways. Much of the information we hold is provided directly by you when you register for an account, update your profile, subscribe to a plan or contact our support team.

We also collect information that you or your team enter into the Platform in the course of using ProperTradie, including business records, customer details, quotes, invoices, jobs and expenses.

When you submit a support request, we receive the information you choose to share with us so we can investigate and respond to your enquiry.

Some information is collected automatically when you visit our website or use the Platform. This includes technical and usage data generated by your device and browser as you interact with our services.

We use cookies and similar analytics technologies on our website and within the Platform to help us understand how our services are used, maintain security and improve functionality. Further detail is provided in the Cookies and Analytics section below.

How We Use Information

We use the information we collect to provide and operate the Platform, including creating and managing user accounts, delivering the features you use to run your business, and maintaining the reliability of our services.

We use billing and account information to process subscriptions, manage renewals and communicate with you about your plan. We send transactional emails and notifications related to your account, such as sign-in alerts, subscription confirmations and service updates.

We use information to provide customer support, respond to enquiries and troubleshoot issues you report to us. We also analyse usage patterns and feedback to improve our services, develop new features and fix problems.

We use technical and account information to maintain the security of the Platform, monitor for suspicious activity, detect fraud and misuse, and protect ProperTradie and our users from harm.

We may use and disclose information where reasonably necessary to meet our legal obligations, respond to lawful requests from regulators or law enforcement, resolve disputes and enforce our agreements.

ProperTradie does not sell personal information.

Customer Information Entered Into ProperTradie

ProperTradie is designed for trade businesses to manage their own operations. As part of using the Platform, you may store information relating to your own customers, such as contact details, job history, quotes, invoices and related records.

ProperTradie acts primarily as a software platform. Users are responsible for ensuring they have the appropriate rights, notices and consents necessary to collect and process information relating to their own customers.

You should ensure that your use of ProperTradie, including any customer information you enter into the Platform, complies with applicable privacy and consumer laws. This may include providing your own privacy notices to your customers where required.

Customer information entered into the Platform is stored and handled using the same privacy protections and security measures that apply to other information held by ProperTradie, as described in this policy. We access customer information you store only as needed to provide the Platform, maintain security, comply with law and support your use of our services.

Payments and Subscriptions

ProperTradie offers subscription plans and, in some cases, in-app purchases. Processing subscriptions and payments may involve third-party providers that handle payment transactions on our behalf.

Depending on how you subscribe, your payment may be processed by Stripe (for web subscriptions), Apple (for in-app subscriptions purchased through the Apple App Store) or RevenueCat (for subscription management and related services). These providers collect and process payment information according to their own privacy policies and security procedures.

ProperTradie does not store complete credit card details. Payment card information is transmitted directly to the relevant payment provider and is subject to that provider's terms and privacy practices.

We may receive limited information from payment providers, such as confirmation that a payment was successful, subscription status, billing period and the last four digits of a card where applicable, so we can manage your account and provide the Platform.

Third-Party Service Providers

We use trusted third-party providers to help us operate ProperTradie. These providers may process personal information on our behalf for purposes such as hosting, authentication, payments, communications and analytics.

Our current service providers include Supabase for authentication and database services, Cloudflare for hosting and file storage, Stripe for payment processing, Apple for in-app subscriptions, RevenueCat for subscription management, Twilio for SMS and verification services, and Resend for email delivery.

We require our service providers to handle information securely and only use it for the purposes for which we engage them. However, each provider maintains its own privacy policy and security procedures, and we encourage you to review those policies where relevant.

The third-party providers we use may change from time to time as our business and technology needs evolve. We will take reasonable steps to ensure that any new providers handle personal information in a manner consistent with this policy.

Overseas Processing

ProperTradie is based in Australia. However, some of our service providers may store or process personal information outside Australia, including in countries where privacy laws may differ from those in Australia.

Where information is transferred overseas, we take reasonable steps to ensure that it is handled in a way that is consistent with applicable Australian privacy requirements and this Privacy Policy.

By using ProperTradie, you acknowledge that your personal information may be transferred to, stored in and processed in countries other than Australia, including by the service providers described in this policy.

Cookies and Analytics

We use cookies and similar technologies on our website and within the Platform. Cookies are small text files placed on your device that help us recognise your browser or device and remember certain information.

We use cookies and related technologies to improve functionality, maintain security, analyse how our website and Platform are used, and enhance your experience. For example, cookies may help keep you signed in, remember your preferences and understand which features are most useful.

You can disable or restrict cookies through your browser settings. Please note that if you disable cookies, some features of our website or Platform may not function correctly.

Security

We take reasonable steps to protect personal information against misuse, interference, loss, and unauthorised access, modification or disclosure. These measures include technical controls, access restrictions and operational practices designed to safeguard the information we hold.

Despite our efforts, no method of transmission over the internet or method of electronic storage can be guaranteed to be completely secure. You are responsible for keeping your account credentials confidential and for notifying us promptly if you believe your account has been compromised.

Data Retention

We retain personal information only for as long as reasonably necessary to provide our services, comply with legal obligations, resolve disputes and enforce our agreements.

When you close your account or stop using the Platform, we may retain certain information for a period of time where we have a legitimate business or legal need to do so. For example, billing and transaction records may be retained to meet tax, accounting and regulatory requirements.

Some records may be retained for at least seven years where required by law or where retention is reasonably necessary for compliance, audit or dispute resolution purposes. When information is no longer needed, we take reasonable steps to delete or de-identify it.

Access and Correction

You may request access to the personal information we hold about you, or ask us to correct information that is inaccurate, out of date, incomplete or misleading.

To make a request, contact us using the details in the Contact Us section below. We may need to verify your identity before processing your request. We will respond within a reasonable time and in accordance with applicable law.

In some circumstances, we may not be able to provide access to certain information, for example where disclosure would unreasonably affect the privacy of another person or where we are required or permitted by law to refuse access. If we decline a request, we will explain our reasons where we are permitted to do so.

Complaints

If you have a concern about how we have handled your personal information, please contact us at support@propertradie.com.au. We take privacy complaints seriously and will work with you to understand and address your concern.

If you are not satisfied with our response, Australian users may lodge a complaint with the Office of the Australian Information Commissioner (OAIC). You can contact the OAIC at oaic.gov.au.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements or the way we operate ProperTradie.

When we make changes, we will publish the updated policy on our website at propertradie.com.au and within the Platform. The "Last updated" date at the bottom of this page will be revised accordingly. We encourage you to review this policy periodically.

Where required by law, we will take additional steps to notify you of material changes. Your continued use of ProperTradie after an updated policy is published constitutes your acknowledgement of the changes, unless otherwise required by applicable law.
